What happens when you complete a voice interview
Your speech is streamed, in real time, to our speech-to-text provider (Deepgram) to be transcribed, and the resulting text is sent to our AI provider (Anthropic’s Claude) to judge whether your answer actually addresses the question and, if not, to ask a brief natural follow-up. We don’t keep the raw audio after the session ends — what’s stored is your typed-equivalent answers, the same text that ultimately gets submitted to the form.
What we store
- Your answers — the text of each answer, tied to the form you were answering, for as long as the form owner’s account exists (so they can see your response in their dashboard, or, for a connected Google Form, in that Form’s own Responses tab — see below).
- Session metadata — timestamps and a session status (started, in progress, submitted), used to show the form owner whether the interview was completed.
- Error reports — if something breaks mid-session, we send diagnostic detail to Sentry, our error-monitoring provider. That report is deliberately stripped of anything you said, the request/response body, and any local variables from the crash site before it leaves our servers — only the technical failure (error type, code location) is kept, so an engineer can fix the bug without seeing your answers.
We do not sell your data, and we do not use your answers to train AI models.
Who this data goes to
Optional analytics
When analytics is enabled, we ask before loading Google Analytics. If you allow it, we measure page visits and product interactions using generic page categories, without sending your answers, transcripts, email address or authentication tokens. Campaign attribution is stored in your browser for up to 90 days. You can decline or withdraw consent using Privacy choices. Essential login functionality does not depend on analytics.
If you’re answering a form built in a VocalXI dashboard, your answers are stored on our servers and shown to that form’s owner in their dashboard.
If you’re answering a form connected to a real Google Form, your answers are submitted directly to that Google Form via the Google Forms API — exactly as if you’d typed them into the Form yourself — and appear in the form owner’s Google Forms Responses tab. We also keep a copy of your answers on our own servers after submission (tied to that session, not shown anywhere in our dashboard for a connected Google Form), so a failed or retried submission can recover what you said without asking you to repeat yourself. That copy is deleted on request — see below.
Sub-processors that handle data as part of running the service: Deepgram (speech-to-text and text-to-speech), Anthropic (the conversation logic), Sentry (error monitoring, PII scrubbed as described above), our hosting providers (Render for the backend, Vercel for the website), and, if you create an account, our email provider (sends your welcome email only — no marketing list).
Requesting deletion
We don’t yet have a self-service “delete my data” button in the product. Until we do, email info@ascendxi.com from the address you used (or naming the form/link you responded to) and we’ll delete your stored answers and account data. We aim to respond within 30 days.
